CAE Australia Flight Training, a leading aviation training provider located at Moorabbin Airport in Melbourne, is currently seeking an enthusiastic Flight Operations Planning & Resource Coordinator. CAE Australia Flight Training is a Registered Training Organisation (RTO No 46506/CRICOS 04415M) specialising in aviation training.
About the Role
In this pivotal role, you will coordinate and optimise training schedules, instructor allocation, and aircraft utilisation to ensure safe, compliant, and effective training delivery across all programs. Acting as a central link between Program Management, Flight Training Support, and Operations Control, you will play a key role in driving student progression, maximising resource utilisation, and ensuring operational targets are consistently achieved.
We operate seven days per week, and this role requires availability to work one weekend shift.
Responsibilities
Scheduling & Resource Coordination
- Maintain and manage the centralised flight training schedule
- Optimise instructor and aircraft allocation to maximise utilisation
- Monitor and adjust daily operations to meet production targets
- Identify scheduling gaps and proactively resolve inefficiencies
- Incorporate maintenance requirements into operational planning
Student Progression & Program Alignment
- Monitor student bookings to ensure timely course completion
- Identify and address scheduling gaps impacting progression
- Liaise with Program Managers to prioritise training requirements
- Support coordination of flight tests
Instructor Utilisation & Performance
- Manage instructor allocations across all programs
- Monitor utilisation trends and productivity
- Identify inefficiencies and recommend improvements
- Provide reporting and insights to support decision-making
Operational Coordination
- Work closely with Operations Controllers to ensure smooth execution
- Communicate scheduling changes and operational updates
- Support day-of-operations activities, including dispatch when required
Reporting & Continuous Improvement
- Produce and analyse reports on flight hours, utilisation, and progression
- Develop forecasts and identify operational trends.
- Recommend and implement process improvements
About You
To succeed in this role, you will bring previous experience in scheduling, planning, and coordination, along with the ability to manage competing priorities in a fast-paced environment with a professional, approachable, and student-focused attitude. Strong organisational skills with a high level of attention to detail. Demonstrates clear, concise, and professional communication skills, both written and verbal.

Knowledge and experience
- At least 2 + Years experience in scheduling, planning, or operational coordination
- Experience in aviation or high-volume operational environments (highly desirable)
- Familiarity with flight operations systems (e.g. ETA) is advantageous
- Strong understanding of operational efficiency and resource optimisation
- Demonstrated ability to analyse data and produce operational reports
- Tertiary qualification in aviation, business, logistics, or a related field (desirable)
