Student Training Administrator - Aviation

The Company

CAE Australia Flight Training is part of the world’s largest professional Flight Training network. Our Melbourne base at Moorabbin Airport currently has over 200 students in training, and these numbers are increasing substantially in the coming months as our international airline customers send their cadets back to Australia.

To support this growth, we are now seeking a full-time Training Administrator to join our Student Services team to provide administrative support to the Student Services, Flight Training, and Ground School teams to ensure that our students are provided the necessary support to allow them to progress through their training in a timely and efficient manner.

Key Responsibilities

  • Provide exceptional customer service and support to students, ensuring a high level of engagement.
  • Provide administrative support to student services and ground training departments
  • Assist with the coordination of student enrolment, withdrawals, and completions, ensuring compliance
  • Timely assistance with student inquiries and support services
  • Manage the students’ resource library
  • Oversee internal and external exams, including bookings
  • Ensure ground school theory exams and results are captured and monitored
  • Maintain student training records, ensuring that student data is accurately entered into various systems in a timely manner
  • Maintain student records in VETtrak and other systems, ensuring data and compliance integrity
  • Undertake regular review and audit of student training records
  • Provide regular updates on training progression and opportunities for continuous improvement
  • Assist with the processing of international student visa applications
  • Assist with Student Services and welfare issues where required
  • Identify process and systems improvements and help implement them in collaboration with the Student Services Manager.
  • Other ad-hoc duties as directed

 

About You

To succeed in this role, you will bring previous experience in RTO administration or student services. Strong organisational skills with a high level of attention to detail. Demonstrates clear, concise, and professional communication skills, both written and verbal. You are able to manage competing priorities in a fast-paced environment and bring a professional, approachable, and student-focused attitude to everything you do.

Knowledge and experience

  • Experience in VETtrak is highly desirable
  • Proficient in RTO and CRICOS systems, including USI, AVETMISS, NVCR, HITS, TCS, eCAF
  • Customer enquiries and support
  • 2 + Years experience working in Student Services, RTO experience is desirable but not essential
  • Knowledge of the Aviation industry is desirable but not essential
